Saturday, February 29th 10am - 4pm, Concert 3:30 - 6:30 pm
(Exhibitor booths may close down at 4pm, Music and food booths stay open until 6:30pm)
Sunday, March 1st 10am - 4pm

Thank you for being a part of the 17th Annual Tres Rios Nature Festival on February 29-March 1. We are thrilled at the support for this year’s event.  Set up will begin Friday, February 28th at 2PM-4PM. You are also welcome to set up beginning Saturday at 7AM.  On Sunday the venue will also open at 7AM.  Please do not arrive prior to that.

Where to go:

The event is being held at the Base & Meridian Wildlife Recreation Area just Northeast of Phoenix Raceway (Formerly known as ISM Raceway).   Best address for mapping: 7602 S Avondale Blvd, Avondale, AZ 85323

FREEWAY CONSTRUCTION NOTICE: 
I-10 will be closed just west Avondale Blvd. and east of Dysart in both directions on Feb 29 - March 1.  You may still exit on Avondale or Dysart, however we would expect traffic to be backed up so please view the link above for alternate routes.

EXHIBITOR INVITATION - SUNSET CONCERT

Support Wildlife for Tomorrow while relaxing along the river at the sunset concert!
Performances include:
Incidental Bluegrass at 3:30
Cisco & The Racecars at 5pm-6:30.

Guarantee your dinner and purchase Exhibitor Meal Ticket now.  Meals provided by Dubb ya Bee's BBQ.  Proceeds benefiting Wildlife for Tomorrow Foundation

Tickets are $12 in advance, $15 on event day
Includes:

  • A Brisket, Pulled Pork or Chicken sandwich
  • One side: Mac N Cheese, Baked Beans or Fries. 
  • Drinks are sold separately - Beer is available in the beer tent and proceeds benefit AZ West K9.  Or you may purchase other non-alcoholic beverages from any of the other food vendors.

PURCHASE MEAL TICKETS

Load in procedures:

During set up times listed above, your vehicles will be allowed into the event area to unload.   Use caution in entering the area, as the entrance is only wide enough for one vehicle at a time. Please unload quickly and then move your vehicle to make room for other exhibitors. ALL VEHICLES MUST BE REMOVED FROM THE EVENT AREA BY 9:00 AM.

Parking:

Exhibitor parking is available behind the STAGE at the north end of the event.  Vehicles parked in this area will not be able to leave during event hours so if you need to leave at any point you must park in the public parking areas outside the festival grounds, northwest of the event entrance. 

PLEASE NOTE: Because of the sunset concert on Saturday, February 29th (3:30PM - 6:30PM) vehicles will not be allowed to drive through the event at 4pm.  Anyone parking behind the stage area can exit out the north end of the property.  Please note there are tight turns in exiting this way so if you have a trailer or larger vehicle you may want to park it in the parking lot out at the entrance to the festival.

Security:

Tres Rios Nature Festival will provide overnight security on Friday and Saturday nights, however we cannot be held responsible for lost or stolen items.

Booth Assignments:

Please check in when you first arrive at the Welcome Tent.  The attached map identifies your space location at the festival. This map is subject to change so please look to make sure your location is marked with your name or check with a staff member before setting up.  If you requested rentals from us they will be delivered to your booth space on Friday.  If you have brought a generator please be respectful of the noise it makes for other exhibitors place it a good distance away.

Rentals:

We are providing tables and chairs to some sponsors, otherwise you are responsible for providing your own tables, chairs.  The Booth Number Assignment list above will identify if we are providing these items for you.  If you need rentals them you may do so by Friday, February 21st at this link CLICK HERE FOR RENTAL ORDER.  They will not be available to rent on event day.

Food Vendors:

Please have copies of all proper licenses on hand at the event. If you have not already provided a certificate of insurance we will need it before we allow you to set up at the event.

Non-Profits

Please note Non-profits are not allowed to solicit for donations at this event.  If you would like to sell an item as a fundraiser that is allowed if you have paid for a commercial booth.  Non-profit booths are intended for distribution of information and interactive activities.  If you need to make a change please contact Mayra Martinez.

Teardown:

DO NOT BREAK DOWN YOUR AREA PRIOR TO THE COMPLETION OF THE EVENT AT 4:00 PM.  Vehicles will not be allowed into the event area until the area is sufficiently cleared of event attendees.  Check with an event staff member prior to bring any vehicles in for load out.  Please collect any trash around your area and place it in the trash containers provided or the dumpster located in the parking lot.

Please be aware that you will be required to adhere to all Maricopa County Health Department Regulations as well as the City of Avondale Sales Tax Guidelines and Fire Department Regulations if applicable. Tres Rios reserves the right to remove you from the event should there be any issues.
